Creating a Professional Project Handover Document
A project handover document is a single folder - paper or PDF - that you hand over at the final walkthrough, holding everything the client needs to live with the work: paint codes, manuals, warranty dates, certificates and your contact details. It takes about an hour to put together, and it's the cheapest way a small trade business can look like a big one.
Why almost nobody does this (and why that helps you)
Main contractors hand over operation and maintenance manuals as standard; the average sole trader hands over a wave and an invoice. So when a client gets a proper pack from a one-van outfit, it lands. It says the job was run, not just done. It also quietly kills the two things that eat your time after handover: the where's-the-boiler-manual phone call, and the six-months-later dispute about what was and wasn't guaranteed.
What goes in the pack
- ✓ Paint colour codes and finish for every room (brand, code, sheen - matt, eggshell or satin)
- ✓ Appliance and boiler manuals, with model and serial numbers written on the front
- ✓ Warranty dates and registration confirmations - proof you actually registered them

- ✓ Maintenance notes: when the boiler service is due, how to treat the worktop, when to re-seal the grout
- ✓ Your name, number and email for aftercare - with a message-me-first promise
- ✓ Your Google review link, on its own line, near the front
The certificates matter most - clients need them when they sell the house, and being the trade who had them ready and organised is a story that gets retold. The review link matters second most: you're handing this pack over at the exact moment they're happiest with the work.
How to put it together in under an hour
- Collect as you go: photograph paint tins, serial plates and warranty cards on the day, into one folder on your phone
- Use a plastic A5 folder or a single PDF - no design skills needed, just clear labels
- Write the maintenance notes in plain English, three lines per item at most
- Print two copies of every certificate and keep a digital copy yourself
