How to Stop Losing Receipts in Your Van
Your van's footwell looks like a confetti cannon went off - faded fuel receipts, a crumpled merchant invoice, that screw-fix slip wedged in the door pocket. Come January, half of them are unreadable and you've no idea what you actually spent.
Every lost receipt is money you've overpaid HMRC. Lose £40 a week in unclaimed expenses and that's over £2,000 a year you can't write off. The fix isn't more discipline - it's a system that takes ten seconds.
Why the shoebox method fails
The classic sole trader system - chuck everything in a drawer, sort it at year end - falls apart for three reasons.
- Thermal receipts fade. That petrol receipt is blank by March. No proof, no claim.
- You forget what it was for. A £60 cash receipt with no note is useless six months on.
- It's a horrible job in bulk. Twelve months of paper in one sitting means you rush it and miss things.

Do this every time you spend a penny on the business. It becomes muscle memory within a week.

- ✓ Catch the date, supplier and total in the shot - get the whole slip in frame
- ✓ Add a one-line note of what it was for (job name or category)
- ✓ For card payments, the receipt still matters - don't rely on the bank statement alone
- ✓ Bin or file the paper immediately so it never hits the footwell
- ✓ Cash jobs: note it the same day while you remember
- ✓ Once a week, two-minute scan to check nothing's missing
- ✓ Keep digital copies for at least 6 years (HMRC's requirement)
Where new tradies get this wrong
Even lads who mean well lose money here. Watch for these.
- Relying on bank statements alone. HMRC can ask for the actual receipt, not just a line on your statement. No receipt can mean no claim - and a card statement doesn't show what you bought.
- Ignoring small stuff. Coffees, parking, a bag of fixings - the little ones add up to hundreds a year. If it's a genuine business cost, capture it.
- Letting them pile up 'to do later'. Later never comes. A pile of 200 receipts in December is the exact thing this system exists to prevent.
